Information on this page
will give you the relative costs for various projects performed by HSI. Our fees are directly related to the amount of time it takes us to complete the work. When we present you with a proposal for performing work, it will always be stated as a flat fee, plus reimbursable expenses (coach airfare, ground transportation, meals and lodging for on-site visits) If you are interested in recieving a proposal for any of the work that HSI specializes in, study the information below to get a better idea of the kind of information we need to complete the project. A little work on your end before we develop a proposal could save you a significant amount of money. Why does HSI quote fees as "...Plus Reimbursable Expenses"?
Because it is cheaper for the client! The costs
for coach airfare, ground transportation, meals and lodging
can fluctuate wildly, depending on season and location. Airfare and rental cars
are especially sensitive
to price fluctuations. If you request that we include travel expenses as part
of the fee, we must quote
fully refundable full coach airfare prices and fully unrestricted rental car
prices. These prices are always
significantly higher than we normally get if we wait and make travel arrangements
fourteen or twenty-one
days in advance of an actual travel date. When we make a proposal to you for
a project, we don't know
the actual travel dates.
A recent real-life example will help you to understand - Recently, a fully refundable
coach airfare from
St. Louis to a major east coast city was quoted to us as $1,250.00. The same
flight, when booked as a
fourteen day advance coach ticket with restrictions that didn't matter to us
was quoted as $264.00. Nearly
a thousand dollars difference. Because we were working for our client under
a "...plus reimbursable
expenses" format, we were able to save the client $986.00 on a single airline
ticket.
Internal HSI rules for travel require all HSI personnel who make on-site visites
to purchase coach airline
tickets only, rent cars that are mid-size or smaller, stay at mid-range hotels
like Best Western, Fairfield Inn,
Bugetel, and other similar chains. Meals may not be extravagent and in many
cases are taken in your
company cafeteria simply for convenience.

If we will be proposing to you fees for perfoming any of the following work...:

Conversion to In-House Services
...we will need information from you regarding the condition of your current
floor plans and space inventory
information. We will be developing a database for inclusion into the HSI Custodial
SolutionsHousekeeping Software.
In order to develop your database accurately and completely we need accurate
and complete information.
For Each Space, we must develop the following information:
• Building and Floor Where the Space is Located - (Main Bldg.-3rd Floor,
Physics Bldg.-1st Floor, etc.)
• Department "Owning" the Space - (Radiology, Math Department,
Administration, etc.)
• Room Number or Space Name - (Room 254, Utility Room next to Nurse's
Station, Corridor-1st Floor, etc)
• Area Type - (Office, Classroom, Patient Room, Corridor, Entry, Elevator,
Laboratory, etc.)
• Square Footage - (The wall-to-wall square footage of the space)
• Floor Surface - (buffable, non-buffable or carpet)
Important: We don't need all this information before we propose
a fee; we need only to know in what form
you have the information. We will actually need the information when we arrive
on-site to begin the work.
We have found, over thirty years of doing this type of work, that our clients
have this information in varying
formats and degrees of completness. The format and degree of completness affect
the fee that we charge,
because the less complete the initial space information is, the more time it
takes us in building the HSIPro
database. Review the following scenarios to assist you in determining the condition
of your current space
information:
Tough for Us - Expensive for You
You have no floor plans or CADD drawings. You have no lists of rooms and spaces
of any kind. In thirty
years of doing this kind of work, we have never found a client who didn't have
any kind of space information.
Don't worry, your space information is probably not in this shape. Even if you
think that your information is
in this condition, we can help you locate it within your facility. It's amazing
what you can find when you
start looking.
Good for Us - Much Less Expensive than "Tough"
Scenario
You have floor plans scalable at 1/8-inch or 1/16-inch that have not been reduced,
thereby making the scale
inacurate. None or very little of the information needed is printed on the floor
plans but the square footage
of each space can be measured accurately with a ruler. We can verify the other
information as we physically
survey the facility and write the necessary information on the floor plans.
Better for Us - Less Expensive than the "Good"
Scenario
You have floor plans scalable at 1/8-inch or 1/16-inch that have not been reduced,
thereby making the scale
inacurate. Most or all of the information needed is printed on the floor plans.
If you have the squre footage
printed inside each space on the floor plans, our fee
will be even lower. Determining square footage is the
most time consuming activity of dealing with printed floor plans. Alternately,
you may have lists of spaces
in your facility with most or all of the necessary information contained in
the lists.
Best for Us - Least Expensive for You
You have all the above information in CADD (Computer-Aided Drafting & Design)
software. You are able
to produce 1/8-inch or 1/16-inch drawings with the information printed onto
the drawings. You are also able
to export the information to an Excel spreadsheet.
Important - Don't assume that if you have CADD drawings of your space
information, you also have
the square footage of each space. Many facilities feel that they don't need
the square footage and have
never generated it within the CADD software. Generating square footage takes
an additional and time
consuming step in the CADD software.

Staffing Analysis
If we will be proposing to you fees for perfoming any of the following work...:
Staffing Analysis
...we need the same information, except that instead of needing the square footage
for each space, we will need
the total square footage of each area type in each building. Since a staffing
analysis is not a room-by-room and
space-by-space analysis, summary square footage information works extremely
well.
For a staffing analysis, the information you generate for us to use, once we
arrive on-site for the initial data
gathering, should look something like the example below:

In larger buildings, you should summary the area type square
footage information by floor.
Here again, HSI's fee is dependent on the amount of time we spend on the project.
If we have to measure,
from floor plans, each space in order to be able to summarize each area type,
it will cost you more than if
you already have the square footage summarized.
